What information we collect

We collect the information you give us when you book and when you attend your appointment. This is likely to include:

  • Your name, phone number, email address and, if relevant, your address.
  • Health information you share with us at assessment, such as your symptoms, medical history, previous injuries, medication and any treatment you are receiving.
  • Notes about the treatment you receive and how you respond to it.
  • Information you give us when you enquire, for example through the booking form on this website.

Health information and why it is treated differently

Health information is what the law calls special category data. It gets extra protection, and we can only hold it on specific legal grounds.

We collect health information because we need it to treat you safely. Without knowing about your injuries, medical conditions and medication, we cannot make an informed decision about whether treatment is appropriate or how to adapt it. We rely on your explicit consent to hold this information, which you give when you complete your assessment.

You can withdraw that consent at any time by telling us. If you do, we may not be able to continue treating you safely, and we will explain what that means before it happens.

Our lawful basis for using your information

  • Providing treatment. We use your information to deliver the treatment you have asked for.
  • Health information. Special category data is held on the basis of your explicit consent, and for the purposes of providing healthcare.
  • Replying to you. When you send an enquiry, we use your details to respond to it.
  • Legal requirements. We may need to keep records to meet our legal and insurance obligations.

Who else sees your information

We do not sell your information, and we do not share it for marketing.

Nobody else receives your personal information. Your treatment records are held by the practice itself. Where you contact us through the enquiry form on this website, that enquiry is delivered to the practice by email and is not stored by anyone else.

One exception applies to the website rather than to your records. The maps on our location pages and contact page are provided by Google Maps. When a map loads, Google receives your IP address and may set its own cookies. No information you give us is passed to Google, but the request itself is made from your browser to Google. You can avoid it by not using the maps.

How long we keep it

We keep client records for seven years after your last appointment, and then delete them securely. We hold records for that period because that is how long our legal and insurance obligations require, and because it allows us to treat you safely if you return after a long gap.

You can ask us to delete your information sooner, and we will do so wherever we are not required to keep it.

Your rights

You have the right to:

  • See what we hold. Ask us for a copy of the personal information we hold about you.
  • Correct it. Ask us to fix anything that is wrong or incomplete.
  • Have it deleted. Ask us to delete your information, where we are not required to keep it for legal or insurance reasons.
  • Restrict or object. Ask us to limit how we use your information, or object to a particular use.
  • Withdraw consent. Withdraw your consent to us holding health information at any time.

To exercise any of these, contact us using the details at the top of this page. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.

Cookies and this website

This website does not set advertising or tracking cookies of its own.

The one third party element is the Google Maps embed on our location pages and contact page. When a map loads, Google may set its own cookies, as described under who else sees your information above. No other part of this site sets a cookie.

If we ever add analytics or advertising cookies, this section will be updated and you will be asked to agree before anything is set.

Changes to this policy

If we change how we handle your information, we will update this page.
